Operations guide
How Kvant works on the warehouse floor: receiving, picking, counts, labels and integrations.
§1Getting started
1.1Set up your warehouse
Create a warehouse in Settings › Warehouses, then import your products from a CSV file under Catalogue › Import. Three columns are required: sku, name and unit. Barcode, weight and batch tracking are optional and can be added later.
1.2Locations and zones
Locations follow the pattern zone-aisle-level, for example A-03-2. Zones group aisles, so each zone can have its own rules for chilled goods, bulky items or returns. A location can hold one product or several.
§2Receiving
2.1Receive against a purchase order
Open Receiving › Expected, choose the purchase order or advance shipping notice (ASN) and scan each item. Anything above the ordered quantity is flagged in amber before you confirm, so an overdelivery never reaches stock unnoticed.
2.2Splitting a pallet
To split a pallet, scan its label and choose Split (F4) on the handheld, then enter the quantity for each new pallet. Every part gets its own label and keeps the batch number and best-before date of the original.
2.3Damaged goods and differences
Mark damaged units with Quarantine (F6). They move to location Q-01 and no longer count as available stock. When you close the receipt, Kvant creates a discrepancy report for the supplier automatically.
§3Picking
3.1Picking methods
Choose a method per warehouse: single order, batch picking with up to 12 orders per trolley, or wave picking released before each carrier cut-off. You can change the method at any time; open tasks keep the method they started with.
3.2Pick paths
Pick paths follow a snake pattern through your zones. To use your own order, set it under Locations › Zone order; Kvant then sorts every pick list by it.
§4Inventory counts
4.1Cycle counts
Schedule cycle counts by zone or by ABC class. A count can be blind, which hides the expected quantity from the counter, and it never blocks picking in other zones.
4.2Count variances
A difference above the tolerance (2% by default) is held until a supervisor approves it. Only then is the stock adjusted and a stock.adjusted event sent to your integrations.
§5Scanners and labels
5.1Handhelds and scanners
Kvant runs on Android handhelds and on Bluetooth scanners that act as a keyboard. The handheld app keeps working offline for up to 8 hours and syncs as soon as the connection returns.
5.2Label printing
Labels follow the GS1-128 standard. Print to any thermal printer that accepts ZPL and choose the printer per workstation under Settings › Printing. Templates can include the batch, the best-before date and a QR code.
§6Integrations and API
6.1REST API
The REST API is included in every plan. Create a bearer token under Settings › API and send it with each request. The default limit is 300 requests per minute per token; ask support if you need more.
curl api.kvant-soft.demo/v3/stock?sku=KS-1042 \
-H "Authorization: Bearer $KVANT_TOKEN"
6.2Webhooks
Webhooks send stock.adjusted, receipt.closed and order.packed events as JSON. Failed deliveries are retried for 24 hours with growing pauses, and every attempt is listed under Settings › Webhooks.
§7Users and plans
7.1Roles and sign-in
Kvant has four roles: Admin, Supervisor, Operator and Read-only. Users sign in with an email link; single sign-on (SAML) is available on Growth and Scale.
7.2Plans and invoices
| Plan | Per month | Warehouses | Users |
|---|---|---|---|
| Starter | €49 | 1 | 3 |
| Growth | €149 | 3 | 15 |
| Scale | €390 | Unlimited | Unlimited |
Plans are billed monthly. Invoices are issued on the 1st with 14 days to pay. Custom terms are agreed with sales.
